Media monitoring data sitting inside Meltwater, Cision, or Signal AI is useful for the comms team. Media monitoring data flowing into Power BI, Looker Studio, or your company's reporting stack is useful for the whole organisation. The difference is integration -- getting coverage volume, sentiment, share of voice, and issue trends out of the monitoring platform and into the dashboards and reports that leadership, marketing, risk, and investor relations actually look at.

Step 1: Define what goes where

Not all monitoring data needs to leave the platform. Map the data flows before building anything.

This mapping prevents the common failure mode of building a complex integration for data that nobody uses. If a data flow does not connect to a report that a named person reads, do not build it.

Step 2: Standardise the data model

Monitoring platforms use different field names, date formats, and sentiment scales. Before data flows into your reporting stack, standardise on a common schema.

Minimum required fields:

  • `date` -- ISO 8601 format (YYYY-MM-DD)
  • `outlet_name` -- standardised (e.g., "Financial Times" not "FT" in one system and "The Financial Times" in another)
  • `outlet_tier` -- Tier 1 / Tier 2 / Tier 3 per your classification
  • `headline` -- full headline text
  • `url` -- article URL
  • `author` -- journalist name where available
  • `sentiment` -- positive / neutral / negative (standardise if your platform uses a 1-5 scale)
  • `topic_tags` -- from your shared taxonomy
  • `reach_estimate` -- numeric, monthly unique visitors or audience figure
  • `source_type` -- print / online / broadcast / social

If you use multiple monitoring tools (e.g., Meltwater for media, Brandwatch for social), the standardised schema is how you combine the data without conflicts.

Step 3: Choose the integration method

API integration (best for daily/real-time)

Meltwater, Cision, and Signal AI all offer REST APIs. The typical setup:

1. Authenticate via API key or OAuth. 2. Schedule a script (Python, Node, or a no-code tool like Zapier/Make) to pull new articles on a fixed schedule (every 4 hours for daily reporting, every 15 minutes for crisis monitoring). 3. Transform the data into your standardised schema. 4. Load into your BI tool's data source (BigQuery for Looker Studio, a SharePoint Excel file for Power BI, or a Postgres/MySQL database for custom builds).

Watch out for: API rate limits. Meltwater's API, for example, has call limits that vary by plan. If you are pulling thousands of articles per day, confirm your plan supports the volume. Cision's API documentation has historically been less developer-friendly -- budget extra time for integration.

Scheduled CSV export (good for weekly/monthly)

If API access is not available or not in your contract, most platforms support scheduled email delivery of CSV reports. Set up a weekly export that lands in a shared inbox or Google Drive folder.

The manual step: Someone needs to pick up the CSV, check it, and load it into the reporting tool. This takes 10-15 minutes per week. It is acceptable for monthly reporting but becomes a bottleneck for daily cadences.

Webhook/push integration (best for alerts)

For real-time alert routing to Slack, Microsoft Teams, or PagerDuty, use the platform's webhook capabilities. Meltwater and Brandwatch both support webhook-based alerting. Signal AI can push alerts to email and API endpoints.

Setup tip: Create a dedicated Slack/Teams channel for monitoring alerts (e.g., #media-alerts). Route only Tier 2 and Tier 3 alerts to this channel. Tier 1 alerts stay in the platform for analyst review. This prevents channel noise from drowning out important signals.

Step 4: Build the reporting layer

For Power BI

Connect to your data source (Excel on SharePoint, SQL database, or direct API via custom connector). Build three views:

1. Daily snapshot: Coverage count, sentiment bar, top 3 stories with headlines and outlets. 2. Weekly trend: Coverage volume line chart (7-day rolling), sentiment trend, share of voice bar chart. 3. Monthly executive summary: SOV trend, message pull-through, issue flags, narrative text box.

Use Power BI's scheduled refresh (minimum 1x/day on Pro licence, 8x/day on Premium). Share via a Power BI workspace with view-only access for executives.

For Looker Studio (Google)

Connect to Google Sheets (simplest) or BigQuery (most robust). Looker Studio is free and handles the reporting needs of most UK comms teams up to mid-cap level.

Same three views as above. Looker Studio supports scheduled email delivery of PDF snapshots -- useful for executives who will not click a dashboard link.

For Google Sheets (no BI tool)

If you do not have Power BI or Looker Studio, a well-structured Google Sheet with pivot tables and charts works for teams under 5 people. Use IMPORTDATA or Apps Script to automate CSV ingestion.

Step 5: Set permissions and governance

  • Raw data access: Restricted to the monitoring analyst and comms manager. Raw data includes individual article records with full text and journalist names.
  • Dashboard access: Shared with leadership, marketing, risk, and IR as appropriate. Dashboards show aggregated metrics, not individual articles.
  • Edit access: Only the monitoring analyst and one backup can modify queries, data connections, or dashboard configurations.
  • Data retention: Align with your organisation's data retention policy. GDPR considerations apply if you are storing journalist names and personal social media data -- check with your DPO.

Common mistake: building the integration before fixing the taxonomy

A UK financial services firm spent six weeks building a Power BI integration with Meltwater, including custom API scripts, automated refreshes, and a polished executive dashboard. The dashboard launched to positive feedback. Within a month, the data became unreliable because the underlying topic tags in Meltwater were inconsistent -- different analysts tagged the same coverage differently, and some tags had been renamed mid-quarter without updating the API mapping.

Fix your taxonomy and tagging discipline first. The integration amplifies whatever is in the platform -- if the data is messy, the dashboard will be messy at scale. Spend the first month getting tagging right, then build the pipeline.
